What this policy covers

Whole Child Therapy respects your privacy and is committed to protecting the information you share with us. This Privacy Policy explains what information we collect through our website, how we use it, who we share it with, and the choices you have.

This policy covers information collected through www.wholechildtherapy.net. It does not cover protected health information (PHI) collected in the course of providing therapy services to your child. PHI is governed separately by our Notice of Privacy Practices, which is available in the footer of every page on this site and in our clinics.

By using our website, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the site.

Information we collect

Information you provide to us

We collect information that you provide directly when you interact with our website. This includes:

  • Contact form. When you reach out through our contact form, we collect your name, email address, phone number (if you provide one), and the contents of your message.
  • Insurance guide email signup. When you request our Parent Guide to Insurance Coverage, we collect your email address so we can send you the guide and, if you choose to stay subscribed, occasional follow-up emails.
  • New patient intake form. Our new patient intake form is a Google Form that collects information about your child, your family, your insurance, and your child’s medical history. Because this information relates to your child’s health, it is treated as protected health information and is governed by our Notice of Privacy Practices rather than this Privacy Policy.
  • Enrichment program interest list. If you sign up to be contacted when a social skills group or feeding group is forming, we collect your name, contact information, and basic information about your child so we can reach out when an appropriate group becomes available.
  • Careers inquiries. Our careers page links to Paylocity, which is a separate platform that handles job applications. Information you submit through Paylocity is governed by Paylocity’s privacy policy.
Information collected automatically

When you visit our website, certain information is collected automatically about your visit. This may include your IP address, browser type and version, operating system, device type, the pages you visit, the website you came from, and the date and time of your visit. This information is used to help us understand how the site is being used and to improve the visitor experience.

Cookies and similar technologies

Our website uses cookies and similar technologies such as browser local storage. These are small files that are stored on your device when you visit a website. They serve a few different purposes:

  • Essential technologies. Our website uses Elementor, a WordPress page builder. Elementor stores a small amount of information in your browser’s local storage to help the site function properly, such as remembering that you have visited a page. This information does not identify you personally.
  • Analytics. We use Google Analytics to understand how visitors find and use our website. Google Analytics sets cookies that collect information such as the pages you visit, how long you spend on the site, and the general geographic region you are visiting from. We do not use the information you provide through our website for any purpose unrelated to the services we offer or the reason you provided the information.

How we share your information

We share information only in limited circumstances, and only with parties who help us operate our website and deliver our services.

Service providers. We use trusted third-party services to help run our website and communicate with families. These include:

  • Google for email, document storage, analytics, and Google Forms
  • Brevo for email delivery, including sending the insurance guide
  • Paylocity for career inquiries
  • Bluehost for website hosting


These providers only receive the information they need to perform their services for us, and they are bound by their own privacy and security obligations.

When required by law. We may disclose information if we are required to do so by law, subpoena, court order, or other legal process, or to protect the safety of any person.

With your consent. We may share information in other situations with your consent or at your direction.

We do NOT sell your personal information. Whole Child Therapy does not sell or rent personal information to third parties, and we do not share personal information for targeted advertising purposes.

Protected health information is handled separately

Whole Child Therapy is a healthcare provider, and some of the information we collect is protected health information (PHI) under the Health Insurance Portability and Accountability Act (HIPAA). This includes information collected through our new patient intake form and any health-related information shared during the course of your child’s care.

PHI is not covered by this website Privacy Policy. It is governed by our Notice of Privacy Practices, which explains how we collect, use, disclose, and protect your child’s health information, and what your rights are with respect to that information.

You can review our Notice of Privacy Practices at any time through the link in the footer of every page on our website, or by requesting a copy at our front desk.

Children's privacy

Our services are for children, but our website is directed at parents, caregivers, and other adults. We do not knowingly collect personal information directly from children under the age of 13 through our website.

Information about children is provided to us by their parents or legal guardians, not by the children themselves. If you believe that a child has submitted personal information to us through the website without parental consent, please contact us at admin@wholechildtherapy.net and we will take appropriate steps to remove that information.

Your California privacy rights

If you are a California resident, the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA) give you specific rights regarding the personal information we collect about you. These rights include:

  • The right to know what personal information we have collected about you, how we use it, and who we share it with.
  • The right to delete personal information we have collected from you, subject to certain exceptions (for example, information we are required to retain by law or for healthcare recordkeeping).

  • The right to opt out of the sale or sharing of your personal information. As noted above, we do not sell personal information and we do not share it for cross-context behavioral advertising.
  • The right to non-discrimination. We will not deny services, charge different prices, or provide a different level of service because you exercised your privacy rights.

We may need to verify your identity before responding, and we will respond within the timeframes required by law. You may also designate an authorized agent to submit a request on your behalf.

We take reasonable steps to protect the information collected through our website, including technical and administrative safeguards appropriate to the type of information involved. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. If a security incident occurs that affects your personal information, we will notify you as required by applicable law.
