What to Expect

Getting started is easier than you think.

We know that figuring out where to start can feel like a lot. Our team is here to guide you through every step of the process, from your first phone call to your child’s first session.

How to get started

STEP 1

Reach out to us

The first step is simply getting in touch. You can call us, fill out a contact form, or reach out however is easiest for you. Our team will talk with you about what your child needs and what services we offer, and help you figure out whether Whole Child Therapy is a good fit. If your insurance or pediatrician has already referred you to us, we may reach out to you directly to get things started.

STEP 2

Complete the intake form

Once we determine that we can serve your child, we will send you our intake form by email or text. Before you begin, have the following on hand:

  • Your insurance card(s)
  • Any referrals or authorizations from your insurance or pediatrician
  • Your child’s diagnosis, if one has been given
  • Your pediatrician’s name

The form includes a secure link to submit your insurance card and is available in both English and Spanish. Spanish-speaking staff are available to assist you.

Along with the intake form, we will provide a copy of our Notice of Privacy Practices, which explains how we handle your child’s health information. You can also review the Notice here at any time.

STEP 3

We verify your benefits and get authorizations in place

After you submit the form, our team works on verifying your insurance benefits and making sure all required authorizations are in place before scheduling begins. This step can take some time depending on your insurance plan and your child’s needs. Our team will give you a realistic sense of timing when you speak with us, and we will reach out as soon as we are ready to move forward.

STEP 4

Schedule your first appointment

Once everything is in place, we will work with you to find a time that fits your schedule and ours. Our team will match you with a therapist based on your child’s needs and your availability.

Please note that we have limited availability for afternoon slots between 3:00 pm and 6:00 pm, and wait times for those slots can be longer than morning or early afternoon appointments. Letting us know you are open to morning or midday times can help you get scheduled sooner.

STEP 5

Attend the evaluation

Your child’s first appointment is typically an evaluation. This is where your child’s therapist gets to know them, gathers information directly from you, and assesses your child’s skills and needs. Here is what to expect:

  • Please come 20 minutes before your appointment time as you may be asked to complete additional questionnaires or rating scales as part of the evaluation process
  • A parent or guardian must be present for the full evaluation
  • Your therapist will spend time talking with you about your child’s history, daily routines, and your main concerns
  • Your child will participate in structured activities so the therapist can observe and assess their skills directly

After the evaluation, your therapist will share their findings and talk with you about next steps and therapy goals.
